FAQs about the Personalized JLU Chip Card

You will soon be involved in research and teaching at JLU, but you are not employed at JLU. When will you receive your JLU chip card? What should you do in case of loss or damage? What should you consider in case of a name change? On this page, we would like to answer these questions for you.

Personalized guest cards can currently only be issued for individuals who start at JLU on September 15, 2024 or later. The IAM team is working to ensure that all individuals who were already authorized before this date can apply for a JLU chip card in the new design as soon as possible. We ask for your understanding and thank you for your patience.

 

Who is allowed to receive a personalized JLU chip card?

You will receive a personalized JLU chip card if you belong to the following groups of people (= individuals with a JLU personnel number):

Interns, student and research assistants, lecturers, senior instructors, JLU scholarship holders in FB11, and retired professors (individuals with a JLU personnel number).

How do I receive a personalized JLU chip card?

After entering your data into the personnel system, you will receive an automated email at your private email address to activate your account. Please follow the instructions. After your account activation, you will receive an email prompting you to upload your photo for the JLU chip card and to confirm a mailing address. Subsequently, your personalized JLU chip card will be produced and sent to you by post.

How do I obtain access permissions?

Access permissions must be applied for separately at Department E. Please submit the Application for locking authorisation for existing JLU-chipcard.

I have lost my JLU chip card. How can I have it blocked?

Please report the loss of the ID card immediately in the IAM portal of JLU. The JLU chip card will then be blocked. You will subsequently receive an email with the next steps.

My JLU chip card is defective. How do I obtain a new one?

Please contact the service desk of the IT Service Center (HRZ). The team at the service desk will check the defect and, if necessary, have a new JLU chip card produced for you. Here is their address:

My name has changed. How do I obtain a new JLU chip card?

Requests for changes to personal data should be submitted to the human resources department or your dean's office. After your data has been updated in the personnel system, you will automatically receive an email prompting you to upload your photo and to confirm a mailing address (since photos cannot be stored for data protection reasons, a new one is required). Subsequently, your new JLU chip card will be produced and sent to you by post.

Where can I return my personalized JLU chip card?

You can return your JLU chip card at the service desk of the IT Service Center (HRZ) or send it to the following address:

What are the terms of use for the personalized JLU chip card?

No transfer to third parties:  The staff ID may only be used by the person named on the chip card and is not transferable to third parties. In the case of misuse, the staff ID card will be immediately blocked and must be returned.

Return immediately upon expiration: After the expiration date (for example, upon termination of employment), the functions of the chip card will be blocked. The staff ID card must be returned at the service desk of the IT Service Center (HRZ) or sent to the following address:

In case of loss or defect: The staff ID card must be stored carefully. In the event of loss or defect of the JLU chip card, this must be reported immediately in the IAM portal of JLU so that the card can be blocked.
