Terms and Conditions for Participation

A. Terms and conditions for participation in courses running throughout the semester

I. Eligibility and rules

  1. Registration is compulsory for all language courses.
  2. Please register online (using the booking system) in the time frame indicated. Deadlines must be observed.
  3. Students who have already passed an intensive course which was subject to a fee will be given priority when registering for a follow-up course.
  4. Courses are in principle open only to students at Justus Liebig University Giessen.
  5. Students at THM and Philipps-Universität Marburg may apply for any remaining places within the first week of the teaching period of the semester. This does not apply to participants in intensive courses (see A.I.3).
  6. JLU members of staff are exempted from the online booking system. They may apply by email before the course has begun. Admission is left to the discretion of the co-ordinator responsible and depends primarily on vacant places or on the implementation of a special quota with the course instructor’s approval. Members of staff do not have an automatic right to a place.
  7. Minimum and maximum numbers of participants per course as laid down in the module description will be observed. If the minimum number is not reached, the course will be cancelled.
  8. If course participants are absent without notification from a session in the first two weeks of the course, they will be barred from the course and their places will be given to applicants on the waiting list. In this period, the course instructor and the Forum Languages & Cultures must be notified of the pending absence by email prior to the date of the session. It is not possible to be excused for several consecutive sessions in this period.

II. Placement test and switching courses

  1. An online placement test must be taken for English, French, Italian and Spanish courses if you have knowledge of the language before you apply for a course.
  2. The result of the test is binding. In exceptional cases the co-ordinator responsible may allow a student to switch to a different course.
  3. Students applying for a beginner’s course but who already have knowledge of the language may be excluded from the course on the instructor’s discretion.
  4. If the student’s level diverges greatly from the level of the course, the instructor may require the student to switch to a different level or the student may request a switch.

III. Waiting list

  1. Once the registration list for a course is full, the booking system will activate a waiting list where a student may leave his or her email address.
  2. Should a reserved place become vacant, 10 applicants on the waiting list will automatically be informed by email. This email does not mean that a recipient has been accepted. The vacant place will be allocated to the first of the 10 students to register.
  3. Students on the waiting list can fill vacancies in the first two weeks of the teaching period of the semester.

IV. De-registration

  1. Course participants can vacate their place by using a link supplied with the original booking confirmation. The place can then be passed on to the waiting list.
  2. Please de-register as soon as possible, at the latest by the end of the second week of the teaching period of the semester.
  3. If automatic de-registration on the booking system is not possible, you must send your notice by email to the Forum Language & Cultures.
  4. If course participants are absent without notification from a session in the first two weeks of the course, they will be barred from the course and their places will be given to applicants on the waiting list (see A.I.8).

V. Attendance, final examination and certification

  1. Attendance is compulsory for all the language courses.
  2. In courses comprising 90 minutes (2 teaching units @ 45 minutes) per week, participants may miss 5 teaching units @ 45 minutes in the summer semester or 6 teaching units @ 45 minutes in the winter semester.
  3. In courses comprising 180 minutes (4 teaching units @ 45 minutes) per week, participants may miss 11 teaching units @ 45 minutes in the summer semester or 12 teaching units @ 45 minutes in the winter semester.
  4. Adequate attendance is a pre-requisite for sitting the final examination or for receiving a certificate of attendance.
  5. Terms for the examinations and assessment components are regulated by the module description at hand.
  6. Upon request, students may make an appointment to inspect their graded examination papers.
  7. Students wishing to gain Credit Points for interdisciplinary skills (außerfachliche Kompetenzen) must also register on the FlexNow examination administration system. The period for registering for or de-registering from courses run by the Forum Languages & Cultures is regularly between the 5th and the penultimate week of the teaching period of the semester.

VI. Re-sits

  1. Any parts of examinations failed by a candidate may be retaken on the date published on the homepage.
  2. Students who are sick on the day of the regular examination may take the complete examination on the date of the re-sit provided a medical certificate is presented.
  3. Students having to sit another examination in the two-hour block during, directly before or after the time set for the regular examination or having to attend another university class at the same time may take the complete examination on the date of the re-sit provided proof of the other commitment is presented.
  4. Students must sign up for the re-sit date on the online booking system within the stipulated period.

 VII. Final clauses

  1. Data on participants will be treated in accordance with current data protection regulations.
  2. Data on participation and examinations will be kept for 5 years.

 

B. Terms and Conditions for Participation in Intensive Courses in the Lecture-free Period

I. The same terms and conditions prevail for intensive courses as for courses running throughout the semester with the exception of the following special regulations.

II. Course fee

  1. A fee will be charged for intensive language courses.
  2. If de-registration takes place up to 10 days before the course begins, there will be no cancellation fee.
  3. If de-registration takes place less than 10 days before the course begins and without any proof of a good reason, a cancellation fee of 50 per cent of the course fee will be charged.
  4. If de-registration takes place on or from the first day of the course or if the student is absent on or from the first day of the course, the full fee for the course will be charged unless proof of a good reason (e.g. illness, ex-matriculation, change in place of residence) can be presented. The co-ordinator responsible will decide on the validity of the reason.

 

C. Terms and Conditions for Participation in Language Examinations Subject to a Fee

I. Registration

Registration is to take place in the prescribed period in the online booking system. The dates specified online must be observed.

II. Examination fees

  1. In the case of de-registration by the last working day prior to the date of the examination, there will be no cancellation fee.
  2. In the case of de-registration or absenteeism on the day of the examination without proof of a good reason, the full fee will be charged.
